Entering width, height and KB

Type the Width and Height from the form and choose the Unit. For mm, cm or inches, also enter the DPI (dots per inch) the form states; 300 is common for photos. The tool converts to pixels (pixels = inches × DPI, with 25.4 mm or 2.54 cm per inch) and shows the output size before you add a photo. The DPI is also written into the JPG header, which some portals read.

Then set Max file size in KB, and Min file size if the form gives a range such as 20–50 KB. Because the dimensions are fixed, only JPG quality changes to meet the range. If the maximum can't be met even at the lowest quality, the row says so: raise the KB limit or use smaller dimensions.

Cropping to the required aspect ratio

When your photo's shape differs from the box, choose under If the photo's shape is different:

• Crop to fit trims the edges evenly. This is the default and what most photo forms expect.
• Add borders keeps the whole photo and fills the gaps with the color set under More options.
• Stretch forces the photo into the box and distorts faces, so avoid it for ID photos.

Cropping is centered. If the face isn't in the middle, crop the photo first with its 35 × 45 mm or 3:4 preset, then resize it here.

Typical form requirements

Forms usually state three things: dimensions (pixels or cm), a file-size range in KB, and a format, almost always JPG/JPEG. Common patterns include:

• a photo of about 200 × 230 px between 20 and 50 KB
• a signature of about 140 × 60 px between 10 and 20 KB
• a passport-style photo of 35 × 45 mm

The presets under Start from a common size fill in numbers like these, but they are examples. Copy the exact figures from the form you're filling in, including any rule about a white or light background.

Signature images

Sign in dark ink on plain white paper and photograph it square-on in good light. Crop tightly around the signature so little empty paper is left, then use the signature preset or type the form's size. Under More options, tick Black and white (grayscale): removing color makes small files much cleaner. If the result looks faint, photograph it again with more contrast instead of lowering the quality further.

Checking the result before upload

Each result shows the size in KB and in exact bytes, plus the pixel dimensions. Before uploading, check that:

1. Width × height match the form exactly.
2. The size is inside the range. A warning under the file means a limit couldn't be met.
3. The file name ends in .jpg. A few portals reject .jpeg or other extensions; rename the file if so.
4. The face fills most of the frame and is sharp in Preview.
